Hunt St is looking for a Chief Administrator to ensure accurate project costing, efficient procurement, and adherence to the master construction schedule. In this pivotal in-house role, you will manage processes crucial to maintaining our reputation for quality, compliance, and client satisfaction.
What You'll Do
- Oversee daily office operations, including supplies, equipment, and facilities.
- Provide administrative support to senior management and coordinate cross-departmental processes.
- Manage the recruitment process, from posting job ads to scheduling interviews and candidate communications.
- Maintain accurate employee records and facilitate a smooth onboarding process.
- Assist in monitoring departmental budgets and expenditures.
- Oversee invoice and payment processing, coordinating with the finance department.
- Prepare financial reports and summaries for management review.
- Serve as a central point of contact for internal communications and manage external vendor relationships.
- Provide administrative support for projects, including scheduling, documentation, and progress tracking.
- Ensure compliance with relevant regulations and safety protocols.
- Conduct regular meetings with administrative staff and assist in performance reviews.
- Ensure all invoices are submitted by the 25th of each month and schedule monthly meetings with trades and suppliers.
- Perform daily reconciliation and keep financial projections up-to-date.
- Verify and approve expenses while monitoring cash flow.
- Ensure site supervisors confirm job-related invoices every Thursday.
What We're Looking For
- 3+ years experience in office management, operations, or senior administrative roles.
- Proven experience supporting finance functions, including invoicing, reconciliations, cash flow monitoring, and budget tracking.
- Experience coordinating HR administration, including recruitment support, onboarding, and employee records.
- Strong understanding of payment cycles, supplier coordination, and invoice approval processes.
- Hands-on experience with accounting or ERP systems like Xero, MYOB, or QuickBooks.
- High proficiency in Microsoft Office / Google Workspace, particularly Excel or Sheets.
- Experience ensuring policy, compliance, and workplace safety requirements are met.
- Strong organizational, communication, and problem-solving skills.
- Ability to work cross-functionally with management, site supervisors, finance, and external suppliers.
Nice to Have
- Background in construction, solar, or project-based industries.
- Experience in a growing or scaling business environment.

Benefits & Compensation
- Monthly salary: $1,200 AUD - $1,500 AUD
