M&T Bank is hiring an Associate Manager, Portfolio Administration to oversee the complete lifecycle for a portfolio of commercial leases. You will work as part of a team ensuring efficient and accurate accounting of client records, rent processing, and reporting requirements.
What You'll Do
- Extract and organize key information from lease agreements to authorize database updates.
- Perform final quality review of lease data abstracted into the database.
- Ensure proper document management for all leased, owned, and associated documents, including file storage, scanning, and mail distribution.
- Review annual operating expense reconciliations and perform desktop audits for lease compliance.
- Produce accurate financial reports for clients, confirm rent changes, develop variance analysis, and ensure proper monthly payments.
- Communicate frequently with internal and external partners, notifying clients of critical dates and policies.
- Request and process certificates of insurance as required by lease documents.
- Review Estoppels against lease terms.
- Exercise good judgment in responding to property inquiries from clients and landlords.
- Maintain productive landlord and subtenant relationships per lease agreements.
- Assist Senior Managers with timely financial reports, identify savings and exceptions, and recommend solutions.
- Assist or oversee special projects as requested by client or leadership.
- Perform standard client processes and recommend new approaches to drive continuous improvement.
- Assist with creating and updating process playbooks.
What We're Looking For
- BA/BS degree required.
- Minimum of 5 years’ experience in commercial Lease Administration.
- Excellent communication, organization, analytical, and multi-tasking skills.
- Strong proficiency with Microsoft Office Suite, SharePoint, and superior Excel skills.
- Ability to interpret complex lease agreements.
- Self-motivated with ability to work independently.
- Ability to create detailed financial reports, business correspondence, and procedural manuals.
- Ability to effectively present information and respond to questions.
Nice to Have
- Degree preferably in Finance, Accounting, Real Estate, or related business area.
