About the Role

mmo plus gmbh is hiring an Executive Assistant to the CEO to structure, prioritize, and execute at the pace of a rapidly scaling e-commerce company. This is a high-exposure role with a clear trajectory to a Chief of Staff position within 12–18 months, based on performance. You will be a central force in optimizing the founder's time and driving key operational projects.

What You'll Do

  • Protect the CEO's time by building the 'Perfect Week', managing a complex multi-timezone calendar, and providing impeccable day-of preparation.
  • Track company OKRs, synchronize teams, drive weekly progress, and resolve operational blockages.
  • Manage executive communication, including triaging and responding to emails, and drafting correspondence on behalf of the CEO when appropriate.
  • Prepare meeting agendas, capture clear action notes, ensure follow-up, and organize events like founders dinners.
  • Handle end-to-end travel logistics, including flights, hotels, and ground transportation, with contingency planning for disruptions.
  • Support the CEO's personal brand by coordinating content for podcasts, interviews, and videos, and managing relationships with producers.
  • Oversee administrative purchases, coordinate with a house manager, and manage receipt processing and archival.
  • Deliver weekly administrative reports, maintain a suspense list, flag risks, and propose process improvements.

What We're Looking For

  • 3–7 years of experience in an executive assistant, operations, or project management role supporting founders or senior leaders.
  • Fluent bilingual proficiency in French and English, with impeccable writing and fast synthesis skills.
  • Mastery of productivity tools like ClickUp or Asana/Notion, Google Workspace, and managing complex, multi-timezone calendars.
  • Meticulous attention to detail, reliability, absolute discretion, and business-driven prioritization instincts.
  • Ability to work in the CET±2 or Dubai time zones, with flexibility for activity peaks and occasional travel.

Nice to Have

  • Experience in e-commerce/DTC, influencer/creator operations, or podcast management.
  • Basic light finance knowledge for handling receipts, wire transfers, and purchase orders.

Team & Environment

You will have direct exposure to the founder and key strategic decisions. You'll synchronize with various teams, especially as an OPS person is being recruited, and report directly to the CEO.
