We are looking for an Assistant Property Manager to support the Property Manager and team in managing all aspects of a single property or portfolio of commercial, industrial, or retail properties. Your role will encompass marketing, operations, and financial activities to ensure the property’s success.
What You'll Do
- Ensure services are provided consistent with policies, procedures, regulations, and contractual obligations.
- Review and recommend approvals for accurate payment of vendor invoices.
- Assist Property Manager(s) in preparing and delivering timely, accurate, and complete monthly reports and budget packages.
- Assist in collecting data and/or drafting tenant rent and Common Area Maintenance (CAM) reconciliations or Escalation (OpX) recovery charges.
- Assist, and coordinate with, lease administration and accounting on all lease administration activities including lease set up, lease changes, and reporting.
- Assist in coordinating tenant move-ins and move-outs, and 'walks-through' spaces; maintain vacant spaces in 'tour ready' condition.
- Respond to tenant needs, ensuring that administrative and building technical staff resolve problems promptly.
- Coordinate contract documents, purchase orders, and other documents related to procuring goods and services.
- Assist with bidding activities.
- Review tenant billings for accuracy and approval; review aging reports and collections efforts.
- Assist in performing regular property inspections; recommend alterations, maintenance, and reconditioning.
- Assist with developing plans, and preparing for, emergency response; ensure resources, supplies, and backups are in place; assist in organizing drills and other training.
- Contribute through thoughtful and proactive execution of clearly defined duties, methods, and tasks; contribute to team performance through suggestions to improve systems, processes, and procedures.
- Assist with client communications; prepare and deliver timely, accurate, and complete reports.
What We're Looking For
- Intermediate skills with Microsoft Office Suite.
- Ability to effectively communicate verbally and in writing with teammates, leadership team, vendors, tenants, and client employees.
- Knowledge of financial terms and principles; ability to calculate figures such as percentages, discounts, markups, and/or commissions.
- Ability to comprehend, analyze, and interpret documents and solve problems involving several options in situations.
- Intermediate level of analytical and quantitative skills.
- Strong organizational skills with an inquisitive and entrepreneurial mindset.
- Proven track record for delivering excellent internal and external customer service.
- Must possess the desire to lead and receive instruction on development of leadership skill set.
- Ability to build consensus in work groups, listen actively, and create mutually beneficial resolutions.
- Ability to travel daily to assigned properties as necessary.
- Ability to work after hours, weekends, holidays, and during emergency situations as necessary.
- Ability to read and write English to understand manuals and procedures and write reports.
- Ability to sit/stand/walk for long periods of time; manual dexterity to operate office equipment; eyesight for reading screens and reports; hearing to understand spoken words; ability to lift and carry up to 20 lbs.
Nice to Have
- Bachelor's degree (BA/BS) with 1-2 years of related experience and/or training; or a combination of education and experience.
- Experience with commercial office, retail, and/or industrial properties.
