About the Role
This position provides essential administrative and clerical support to ensure smooth daily operations within a correctional services department, handling documentation, data entry, scheduling, and interdepartmental coordination.
Responsibilities
- Process and maintain personnel records and official documentation
- Respond to inquiries from staff, external agencies, and the public
- Schedule meetings, appointments, and coordinate logistics for team activities
- Prepare reports, correspondence, and official forms using standard software
- Manage incoming and outgoing mail and ensure proper distribution
- Organize and maintain physical and digital filing systems
- Support onboarding procedures for new employees
- Track and monitor deadlines for compliance and reporting requirements
- Assist with travel arrangements and reimbursement processing
- Coordinate internal communications between departments
- Maintain confidentiality of sensitive information
- Operate office equipment and troubleshoot basic technical issues
- Update databases with accurate and timely information
- Assist in preparing agendas and meeting materials
- Handle supply inventory and place orders as needed
- Provide front desk coverage and greet visitors
- Ensure compliance with state and agency record retention policies
- Support special projects as assigned by supervisors
- Verify data accuracy across multiple platforms
- Use word processing and spreadsheet applications efficiently
- Follow established protocols for document routing and approvals
- Assist in compiling data for audits and reviews
- Maintain calendars for team members or units
- Support emergency preparedness and continuity planning efforts
