Penn State is looking for an Administrative Support Manager to lead the administrative operations of the Department of Plant Pathology and Environmental Microbiology in the College of Agricultural Sciences. You will provide comprehensive management and proxy responsibility for the Department Head, ensuring fiscal responsibility, process efficiency, and a positive work environment.
What You'll Do
- Assist the Department Head with preparing various reports and confidential documents.
- Manage and oversee the promotion and tenure process.
- Manage and oversee the administration of budgets, including reviewing and approving all financial transactions.
- Oversee grants and contracts, including labor distribution planning and implementation.
- Manage graduate student assistantships, grants-in-aid, and the processing of visa sponsorships.
- Manage faculty Ag Experiment Station federal projects and the yearly annual reporting process.
- Coordinate academic and non-academic personnel actions with the College’s Human Resources Office.
- Maintain academic/administrative policies and deadlines.
- Oversee stewardship and associated activities of departmental endowments and gifts.
- Help coordinate and maintain the electronic calendar for the Department Head.
- Supervise and manage department administrative support staff, including interviewing, hiring, and training.
- Provide leadership and foster professional development, emphasizing a positive, inclusive, and diverse work environment.
- Maintain confidentiality in all aspects of departmental affairs.
What We're Looking For
- Bachelor's Degree.
- 10+ years of relevant experience, including 3+ years of supervisory experience; or an equivalent combination of education and experience.
- Highly motivated, organized, and detail-oriented.
- Professional written and verbal communication skills.
- Excellent interpersonal skills.
- A teachable spirit with the ability to mentor others.
- Demonstrated supervisory experience.
Nice to Have
- Experience and proficiency in SIMBA, SAP Concur, Microsoft Office Suite (Outlook, Word, Excel, SharePoint/One Drive), Zoom, and Filemaker.
