Constructor is hiring an Administrative Director – CEO Office to operate at the center of a dynamic, global ecosystem. You will maximize the Founder and CEO's productivity by leading a team and ensuring flawless coordination across all aspects of the executive’s professional and personal domain.
What You'll Do
- Lead, coach, and structure a high-performing administrative team of 3–4 Executive Assistants and 10–15 support personnel.
- Create clarity of roles, responsibilities, and workflows for seamless execution across time zones.
- Establish and enforce SOPs, checklists, and productivity tools for complex, parallel workstreams.
- Serve as the primary interface between the CEO, Chief of Staff, and broader support network.
- Oversee all calendar and scheduling management for 120–150 weekly activities across multiple time zones.
- Ensure meetings, travel, and communications are flawlessly planned, briefed, and executed with contingency plans.
- Oversee comprehensive travel logistics, including end-to-end itineraries, VVIP protocols, and connectivity.
- Anticipate needs and proactively solve issues to prevent disruptions.
- Implement efficient systems for tracking, prioritizing, and closing tasks across multiple domains.
- Drive continuous improvement in workflows and team collaboration.
- Manage sensitive, high-stakes projects with precision and confidentiality.
- Serve as the central communication point between the CEO’s office and all stakeholders.
- Maintain consistent tone and professionalism across all touchpoints.
- Build strong relationships that enable efficient collaboration and trust.
- Uphold absolute confidentiality and ensure secure handling of sensitive information.
- Apply risk management standards to travel, guest lists, and data handling.
What We're Looking For
- 15+ years of proven excellence in executive operations, project leadership, or private office management.
- Proven experience managing executive operations, teams, or private offices at a top-tier level.
- Fluent English (spoken and written).
- High digital literacy with MS Outlook, productivity tools, task-tracking systems, and AI assistants.
- Able to pass comprehensive background checks (criminal, psychological, and substance screening).
- Decisive, proactive, and a strategic project orchestrator.
- Meticulous attention to detail.
- Thrives on change and fast-paced environments.

Team & Environment
You will lead, coach, and structure a team of 3–4 Executive Assistants and 10–15 supporting personnel (drivers, chefs, housekeepers, coordinators, etc.), reporting directly to the Founder and CEO of Constructor Group.

Work Mode
