This role focuses on maintaining the accuracy and efficiency of the accounts payable function within a fast-paced organization. As an Accounts Payable Administrator, you will handle key components of the invoice lifecycle, ensuring correct data entry, timely approvals, and proper allocation of expenses across systems including ADP. Your attention to detail will support reliable financial reporting and uninterrupted vendor services.
Key Responsibilities
- Operate financial systems to process, verify, and correct invoices at various workflow stages
- Manage designated stores and processing queues independently
- Review and reconcile vendor statements, resolving discrepancies promptly
- Ensure accurate coding and timely payment of invoices to maintain vendor trust
- Identify special-case invoices requiring unique handling or escalation
- Support continuity of vital services by monitoring critical invoice timelines
- Communicate clearly with vendors to resolve credit balances and payment issues
- Collaborate with internal teams and escalate concerns such as workflow errors or workload imbalances
- Contribute to process improvements and assist with departmental initiatives as needed
Qualifications
Candidates should have a high school diploma or equivalent and at least 1–2 years of experience in accounts payable or a related role. Strong proficiency in Microsoft Excel and the Office suite is essential. You must be detail-oriented, capable of working both independently and within a team, and committed to confidentiality and professionalism.
Excellent written and verbal communication skills are required, along with the ability to adapt quickly to shifting priorities. Previous customer service experience is a plus. A sense of urgency and ownership over tasks is critical to success in this role.
An Associate’s or Bachelor’s degree is preferred but not required.
Work Environment
This is an onsite position with standard business hours from Monday to Friday, 8:00 a.m. to 5:00 p.m. in Pacific, Central, or Eastern Time zones. The role is based at the corporate home office and requires consistent attendance and focus during scheduled hours.
Compensation & Benefits
Pay starts between $19.25 and $21.00 per hour, with a full range up to $28.50 based on experience. The total compensation package includes competitive wages, a 401(k) retirement plan with company match, and an Employee Stock Purchase Plan.
