About the Role

Northwestern Memorial Healthcare is looking for an Absence and Disability Coordinator to manage the day-to-day operations of our Absence Management programs. In this role, you will provide direction on HR objectives, absence and disability technicalities, and policy issues while partnering with key organizational stakeholders and vendors.

What You'll Do

  • Provide managers and HR Business Partners with support for Disability, FMLA, State Leaves, Personal Leaves, and Long Term Disability programs.
  • Support employees with all paid time off programs, including PTO, Service Anniversary, Personal Holiday, and Union programs, conducting audits and reconciling balances.
  • Assist HR Business Partners and employees with State and City of Chicago Job Protected time, conducting audits and reconciling balances.
  • Explain Life Insurance benefits and assist employees and family members with processing claims.
  • Ensure vendors perform day-to-day operations compliant with regulations and company policies, engaging them to address areas of concern.
  • Identify trends and root causes to reduce costs of continuous leaves and improve program administration.
  • Review business unit-specific trends of disability absences, continuous leaves, intermittent leaves, PTO, and other absences.
  • Share reports and correspondence to ensure communication between employees, managers, HR, Payroll, IT, Workers’ Comp, MD Comp, and external vendors.
  • Collaborate with management, HR consultants, legal, payroll, and absence management vendors on complex absence cases.
  • Coordinate benefit payout (timecard coding) during employee absences using UKG, PeopleSoft, and carriers’ systems.
  • Remain current on related state and federal law changes affecting leave management.
  • Track and monitor benefits arrears and terminate benefits when appropriate for failure to pay.
  • Respond to service tickets from employees and physicians.
  • Coordinate return to work in collaboration with employees, HRBP, managers, and Workers’ Comp Coordinator.
  • Communicate effectively with all levels of the organization regarding company responsibilities during leaves or accommodations.
  • Recommend process improvements to eliminate non-value-added work.
  • Conduct ongoing training sessions related to leave management for assigned business units.
  • Support vendor implementation, new technologies related to Absence Management programs, and system testing.
  • Assist with timecard coding when needed.
  • Perform other benefits-related duties as required.

What We're Looking For

  • Bachelor's degree in business administration, human resources, or equivalent experience.
  • 3-5 years of leave of absence management or relevant experience.
  • Working knowledge of Excel (including pivots and VLOOKUP).
  • Excellent critical thinking, analytical, problem-solving, and interpersonal skills.
  • Ability to communicate clearly and effectively, both orally and in writing, at all levels.
  • Ability to establish and maintain effective working relationships inside and outside the organization.
  • Ability to follow through and provide accurate, timely responses to internal and external customers.
  • Ability to commute between locations and regions as needed.
  • Excellent attention to detail.

Nice to Have

  • 1-2 years of absence management experience (FMLA, STD, LTD, Life and/or WC).
  • Thorough knowledge of FMLA, State Leaves, and related legislation.
  • Experience with PeopleSoft, Kronos, and PowerPoint.
