Nacar is looking for an Executive Assistant 3 to provide high-level support to the CEO and leadership team, ensuring marketing campaigns, operations, and projects move forward with clarity and speed. You will play a key role in streamlining processes and maintaining financial and operational accuracy.
What You'll Do
- Support execution of high-visibility marketing campaigns by coordinating with fulfillment, marketing, and external representatives.
- Organize and maintain company resources across systems like Google Drive and Notion for easy access and cleanliness.
- Follow key email threads for the CEO: draft responses, manage follow-ups, and ensure timely, clear communication.
- Assist in project management by tracking deliverables, meeting deadlines, and simplifying complex workflows.
- Manage finance-related workflows, including tracking invoices, purchase orders, and vendor payments.
- Reconcile expenses and maintain accurate documentation in coordination with accounting and operations teams.
- Coordinate with suppliers, fulfillment partners, and logistics providers to track shipments and resolve issues.
- Prepare concise updates, reports, and summaries to keep leadership aligned and informed.
- Coordinate with vendors, agencies, and internal team members to keep initiatives on track.
- Identify inefficiencies in processes and propose improvements to enhance productivity.
What We're Looking For
- Proven experience as an Executive Assistant, Operations Coordinator, or similar role in a fast-paced environment.
- Exceptional organizational skills with the ability to manage multiple priorities and maintain clean systems.
- Strong written and verbal communication skills, with the ability to draft professional correspondence.
- Proficiency with productivity tools such as Google Workspace, Notion, Slack, and project management platforms.
- High level of discretion, integrity, and professionalism when handling sensitive information.
- Proactive problem-solver who anticipates needs and takes initiative without being asked.
- Comfortable working in a startup-like, high-growth environment where adaptability is key.
Nice to Have
- Hands-on experience with invoicing systems, purchase orders, and vendor payment tracking.
- Familiarity with supply chain or logistics coordination, such as shipment tracking, order fulfillment, and vendor communication.
