Paired, representing a US-based ads agency client, is looking for a Virtual Assistant to act as the CEO's operational partner. This is an exceptionally demanding role requiring constant adaptability, an extraordinary ability to anticipate needs across time zones, and a willingness to manage highly varied personal and professional demands with little notice and total discretion.
What You'll Do
- Coordinate meetings across multiple time zones with senior stakeholders like Google brand representatives and international clients.
- Independently research and arrange international flights, multi-stop itineraries, visas, hotels, and tailored dining reservations, creating curated city guides.
- Provide real-time daily assistance internationally, handling urgent tasks from grooming appointments to property complaints.
- Manage confidential personal administration, including residence permits, visa applications, and drafting property Sales-Purchase Agreements.
- Oversee all international travel logistics for company staff as needed.
- Manage hiring processes: scheduling and conducting interviews, negotiating offers, and onboarding new hires.
- Act as an extension of the CEO to maintain company discipline, monitoring department performance and enforcing meeting attendance.
- Arrange, confirm, and prepare for offline meetings with clients and peers.
- Lead full client onboarding, organizing introductory meetings, preparing contracts, setting up Slack channels, and scheduling recurring strategy sessions.
- Plan and execute small- to mid-scale Dubai events, handling vendor negotiation, venue booking, guest management, and contingency planning.
- Oversee the CEO’s personal branding by ensuring daily content publication and managing post-launch engagement.
- Develop detailed B-roll lists for video production, propose curated outfit suggestions, and research potential venues.
- Serve as the first line of defense for solving last-minute challenges autonomously.
What We're Looking For
- Minimum 5 years of executive assistant, chief of staff, or operations manager experience supporting C-level executives in fast-paced, international environments.
- Demonstrated expertise in complex calendar management across multiple time zones with senior stakeholders.
- Proven ability in high-touch, end-to-end travel planning for multi-stop international trips, including visas and curated guides.
- Experience with real-time daily support for urgent personal and logistical tasks in an international context.
- Strong background managing confidential personal affairs and legal paperwork like visa applications and property contracts.
- Solid track record overseeing team travel logistics for multiple travelers.
- Experience supporting recruitment: scheduling and conducting interviews, negotiating offers, and onboarding.
- Hands-on operational oversight experience, including monitoring performance and delivering sensitive communications.
Team & Environment
You will support the CEO in overseeing a fast-paced, multi-market business, reporting directly to them.
