Scalesource is hiring a Veterinary Office Assistant to provide virtual receptionist and client service support for busy U.S. veterinary clinics. You will act as the first point of contact for pet owners, handling inbound communications and administrative workflows to ensure a seamless and supportive client experience.
What You'll Do
- Answer incoming calls with professionalism, empathy, and clarity.
- Schedule, reschedule, and confirm appointments.
- Ensure efficient calendar utilization based on clinic needs.
- Follow up on missed calls, voicemails, cancellations, and no-shows.
- Route messages to the appropriate clinic staff.
- Maintain accurate client and patient records.
- Support inbox management, reminders, and daily administrative workflows.
- Handle high call volumes while maintaining quality service.
What We're Looking For
- +3 years of experience in customer service, receptionist, or scheduling roles.
- Strong phone presence and ability to manage frequent calls.
- Comfortable using CRM systems, scheduling tools, and digital platforms.
- High attention to detail and strong organizational skills.
- Fluent English (spoken and written).
- Reliable remote setup with stable internet.
- Available to work full-time in U.S. time zones.
- Professional and quiet remote work setup (PC) with reliable high-speed internet.
- Strong Zoom presence and polished communication skills.
- Ability to balance client interactions with administrative responsibilities.
- Submission of an introductory video is required as part of the hiring process.
Nice to Have
- Experience in veterinary, medical, or high-volume service environments.
- Spanish is a strong plus.
Benefits & Compensation
- Compensation: $1,250 – $1,500 USD per month.
Work Mode
This is a fully remote position. You must be available to work full-time within U.S. Time Zones (EST / CST / PST).
