Job Duck LLC is hiring a V102- Receptionist – Legal Operations

About the Role

The Receptionist – Legal Operations will serve as the first point of contact for a dynamic legal team at Job Duck LLC, managing front desk operations, handling inbound and outbound communications, and ensuring smooth office functionality. This role requires exceptional customer service, organization, and proactive problem-solving in a fast-paced environment.

What You'll Do

  • Manage and oversee the office calendar, scheduling calls, meetings, and events
  • Communicate effectively with internal teams via Microsoft Teams and Outlook
  • Review client files to address questions without escalating unnecessarily
  • Utilize SmartAdvocate for case management and RingCentral for call handling
  • Coordinate with attorneys and paralegals to ensure smooth communication flow
  • Make outbound calls as needed (15–20 per day)
  • Organize and maintain documents for easy access
  • Serve as the first point of contact, filtering unnecessary communications
  • Answer all inbound calls for the firm and provide accurate information

What We're Looking For

  • Office Hours: 8:30 AM – 5:30 PM EST
  • 2-3 years of experience in a client-facing role, such as receptionist, customer service, or sales
  • Advanced English skills (both written and spoken)
  • Customer service orientation
  • Detail-oriented and organized
  • Ability to manage multiple tasks efficiently
  • Proactive and solution-focused mindset
  • Comfortable speaking up and suggesting improvements
  • Tech-savvy

Nice to Have

  • Legal background is highly appreciated
