Suffolk University is hiring a Program Manager to provide essential administrative and operational leadership for Suffolk Law’s nationally ranked Clinical Programs. In this onsite role, you will manage day-to-day operations, supervise a small administrative team, and ensure the delivery of high-quality legal education and client services.
What You'll Do
- Ensure efficient and professional operations of the Clinical Programs, including client intake, greeting guests, distributing mail, overseeing supplies, and operating law office technology.
- Work closely with and support the Clinical Programs Faculty Director on core office functions, problem-solving, and special projects.
- Supervise and manage administrative staff, including conducting meetings and performance reviews, approving time/leave, and training.
- Provide administrative support to law faculty and student attorneys, including onboarding and close-out processes.
- Manage student-facing processes, including clinic applications, recruitment, acceptance communications, orientation, and responding to inquiries.
- Maintain accounts and support use of law practice management platforms and educational software, and oversee case file closure and archiving.
- Oversee budget and procurement, including vendor contracts, invoice processing, purchase orders, and reimbursements.
- Coordinate with University Departments such as insurance and risk management, budget office, technology, library, events, and archives.
- Oversee planning and execution of internal and external events, including orientation, faculty retreats, alumni events, conferences, and graduation.
- Serve as primary contact for the Clinical Programs and respond to inquiries.
- Draft program materials to support communications and recruitment efforts.
- Collect and organize data for Clinical Programs, including student enrollment, case, and client data.
What We're Looking For
- Associate degree or bachelor’s degree preferred.
- At least 3 years of administrative, clerical, or program support experience.
- Demonstrated ability to manage multiple priorities, deadlines, and stakeholders.
- Strong computer skills, including Microsoft Office Suite and comfort learning new technologies.
- Excellent initiative and follow-through and ability to exercise discretion and maintain confidentiality.
- Excellent interpersonal skills and strong written and verbal communication skills.
- Comfort working with diverse populations, including students, clients, faculty, and external partners.
Nice to Have
- Advanced degree a plus.
- Experience preferably in a legal or higher education setting.
- Supervisory experience strongly preferred.
- Experience with budgeting, procurement, and contract management preferred.
- Experience with event planning preferred.
- Fluency in spoken Spanish is preferred.
Technical Stack
- Microsoft Office Suite, Workday (HR platform), Clio (law practice management platform), Time Matters, DocuSign, Canvas (educational platform), remote computer platform.
Team & Environment
You will supervise a small team of administrative staff, collaborate closely with faculty, students, University departments, and external parties, and report to the Clinical Programs Faculty Director.
Work Mode
This position is based fully onsite.
