Washington University in St. Louis is hiring a Senior Grants Specialist to join the Department of Medicine Business Office. You will play a vital role in the sponsored project life cycle, ensuring research proposals adhere to sponsor guidelines and are successfully submitted. The Senior GS supports faculty, center directors, and staff throughout the pre-award stage and manages a portfolio of post-award and payroll sourcing activities with minimal supervision.
What You'll Do
- Perform pre-award duties for complex proposals (e.g., program projects, ARPA-H, DOD, DOE) with minimal guidance.
- Manage budgeting, analysis, and justifications for proposals; gather information for protocols and non-technical components.
- Serve as a liaison between the Chair, Faculty, and Department Administrators.
- Stay current on federal and university developments regarding research administration and complex regulations.
- Coordinate proposal submission, prepare budgets with PI, obtain pricing quotes, and ensure regulatory compliance.
- Prepare and review all agency forms for submission and enter grant budgeting documents online.
- Obtain PI and institutional signatures for proposal submissions.
- Initiate subaward setup through the SUBS system and coordinate with Post-award unit and OSRS.
- Manage reviews of complex notice of award (NOA), noting special terms and conditions and committed effort.
- Monitor and work with PI to submit annual agency reports (e.g., RPPRs).
- Oversee and coordinate the proper transfer of PI grants and contracts into WashU.
- Coordinate support for complex grant-related information requests (e.g., biosketches, trainee info, protocol approvals).
- Assist with analysis of online database of grants submitted, awarded, rejected, etc. for metrics and funding trends.
- Organize and determine action plans for upcoming deadlines for renewals, progress reports, and other deliverables.
- Serve as responsible for closure of complex sponsored projects accounts.
- Submit final progress report and invention statement to the appropriate agency.
- Follow up with PI and facilitate submission of delinquent final reports.
- Manage and monitor complex sponsored projects budgets and ensure appropriate and timely expenditures.
- Approve purchasing documents and provide guidance on appropriate expenditures according to grant policies.
- Manage subawards, including reviewing invoices and forwarding to PI for approval.
- Troubleshoot error resolutions for fund profile setups and financial reports.
- Create and process correspondence with granting agencies (e.g., carry forward requests, no cost extensions).
- Serve as internal liaison with SPA to ensure timely fund setup, prepare project advances and no-cost extensions.
- Ensure human and animal study protocols are associated with the applicable proposal or award.
- Obtain documentation on participation of foreign nationals on research projects.
- Coordinate support for internal and external grant-related information requests (e.g., audit inquiries).
- Stay in communication with leadership on pre- and post-award activities to ensure high customer service.
- Track and maintain online database of grants.
- Prepare monthly financial reports on complex research accounts and distribute/discuss with PIs and leadership.
- Assist DA in reconciling funds, monitoring spending, overdrafts, and cost sharing commitments.
- Process budget adjustments on expense categories as needed.
- Obtain signatures and forward grant/contract financial status reports to PI and leadership.
- Work with PIs to provide fund management and make necessary budgetary changes.
- Oversee and coordinate the proper transfer of PI grants and contracts from WashU to new institutions or departments.
- Prepare and submit invoices according to contract, track receipt of checks, and ensure correct deposit.
- Assist senior leadership with special projects as requested.
What We're Looking For
- Bachelor’s degree or combination of education and/or experience may substitute for minimum education.
- 3+ years of relevant grants administration or research administration experience.
