Role Overview

We're hunting for a razor-sharp, detail-obsessed Senior Client Operations Associate to join a boutique wealth management firm that delivers personalized financial guidance to high-net-worth individuals and families.

This is a high-trust, execution-focused role where you'll manage daily operational workflows across multiple service areas—including wealth management, tax and accounting, and basic legal coordination. While you'll interact with internal professionals (advisors, attorneys, CPAs, bankers), the focus is on independent task execution, document handling, and delivering exceptional client service.

Ideal candidates bring prior experience in wealth management, investment operations, or similar financial environments, and excel in fast-paced settings that demand precision, professionalism, and client-first thinking. Success here requires resourcefulness, initiative, and a problem-solving mindset—you'll need to adapt quickly, seek clarity when needed, and take full ownership with minimal guidance.

Workload expectations:

This role primarily involves managing workflows and critical client documentation across our professional service lines. A typical week might include:

  • Processing money movements and transactions (ACH, wires, bill payments)
  • Preparing and submitting forms and applications (e.g., loan paperwork, account openings)
  • Coordinating secure document sharing (e.g., tax docs, contracts, K-1s)
  • Executing administrative actions like forming LLCs or preparing basic agreements
  • Inputting financial data and assisting with preliminary financial forecasts
  • Collaborating with specialized professionals (accountants, attorneys, bankers)
  • Responding to client inquiries via shared inboxes and Microsoft Teams threads

While this position touches all areas of client service, it remains primarily executional in nature and demands working knowledge of finance, investment operations, basic accounting workflows, and general legal processes.

Your responsibilities:

  • Client Support: Respond to service requests and manage follow-ups across client portfolios
  • Account Administration: Manage account openings, transfers, and custodial paperwork
  • Transactional Support: Initiate and verify ACHs, wire transfers, and cash movements
  • Document Handling: Maintain and organize critical financial, tax, and legal documentation
  • Meeting Prep: Compile planning documents, reports, and presentations
  • CRM & Data Entry: Maintain accurate records in Wealthbox, Right Capital, or similar platforms
  • Compliance Tracking: Support KYC, AML, and other documentation compliance workflows
  • Cross-Functional Coordination: Communicate effectively with attorneys, CPAs, and investment teams
  • Process Improvement: Identify inefficiencies and help evolve internal workflows

Requirements

  • Strong written and verbal communication; English fluency is essential
  • 5+ years of experience in a financial operations or client service role within wealth management, accounting, or a family office setting
  • Bachelor's degree in Finance, Business Administration, or related field (preferred)
  • Familiarity with RIA environments, custodial forms, and investment documentation
  • Understanding of basic accounting, financial planning, and legal processes (e.g., LLC formation, POAs)
  • Previous experience using CRMs like Wealthbox, Tamarac, Right Capital, or similar tools
  • Professional credentials such as the Series 65, CFP®, CPA/PFS, EA, CPWA® or equivalent are highly desirable but not required
  • Must be available to work during Pacific Time business hours
