Autism Parenting Magazine is hiring a Travel Coordinator to support the creation of unforgettable luxury travel experiences worldwide. You'll be highly organized and detail-focused, working closely with our lead travel advisor in a supportive, remote environment while growing with our small, dynamic business.
What You'll Do
- Support the lead travel advisor with itinerary preparation and client communication
- Book and confirm hotels, flights, transportation, and activities
- Maintain and update detailed client profiles and preferences
- Research destinations, accommodations, and unique experiences
- Prepare pre-travel documents, guides, and concierge recommendations
- Send VIP, Bon Voyage, and Welcome Home emails
- Handle travel insurance quotes, bookings, and claim support
- Track payments, invoices, and supplier commissions
- Manage calendars, milestones, and internal workflows
- Review itineraries and bookings for accuracy and quality
- Provide backup support during trips or advisor absences
- Maintain SOPs, internal documents, and knowledge bases
What We're Looking For
- 2+ years of experience as a virtual travel coordinator or assistant
- Background in international travel, hospitality, or client services
- Strong attention to detail and proofreading skills
- Excellent written and verbal English communication
- Experience with admin, coordination, or operations work
- Confidence using digital tools and learning new software
- Ability to manage multiple tasks and deadlines
- Comfort working independently in a remote setup
- Reliable internet, personal computer, and smartphone
Nice to Have
- Experience with travel tools like Axus, TravelJoy, TripSuite, or similar
- Experience handling payments, invoices, or commissions
Team & Environment
You'll join a small, growing remote team and work directly with our lead travel advisor, Jane, who you will report to.
