This role delivers essential administrative support to research, teaching, and clinical faculty within the Department of Pathology and Laboratory Medicine. Working independently in a fast-paced academic setting, the analyst ensures smooth operations through precise coordination and proactive problem-solving.
Key Responsibilities
- Manage complex calendars for faculty and services, including scheduling and logistics for meetings, conferences, and academic events
- Conduct targeted scientific literature searches using PubMed to support research initiatives
- Process travel arrangements and prepare expense reimbursements in compliance with institutional policies
- Support the administration of the Mechanisms of Disease Grand Rounds Course, a core continuing medical education program
- Assist with facility management tasks, including space assessments and physical inventories using the Archibus Space Planning System
- Coordinate purchasing activities, reconcile orders, and support laboratory administrative functions
- Respond to internal and external inquiries via phone and email, providing accurate and timely information
- Contribute to inter-departmental website updates and end-user communications as needed
- Collaborate with department specialists on space planning and facilities-related duties
Qualifications
A bachelor’s degree in a relevant field or equivalent experience is required, along with 1–3 years of professional administrative experience in an academic or research environment. Familiarity with UCSF protocols—including grant preparation, large equipment procurement, and animal research guidelines—is essential. Proficiency with PubMed and Archibus Space Planning System is expected.
The ideal candidate demonstrates strong organizational abilities, clear communication skills, and the capacity to interpret technical requirements for diverse audiences. Experience with secure software development practices, object-oriented programming concepts, software repositories, and common programming tools is necessary. Knowledge of IT-related domains is an asset.
Work Environment & Culture
This position operates in a hybrid model, with initial training conducted on-site at the Parnassus Heights campus in San Francisco. The regular schedule includes three days per week on-site, Monday through Friday during standard business hours.
