As the first point of contact at a high-tech office environment, you will provide essential administrative and reception support to both employees and visitors. Key Responsibilities
- Operate and manage incoming calls, directing messages and routing communications effectively
- Receive guests with courtesy, verify identities, and coordinate access with internal teams
- Keep the reception and common areas tidy, organized, and visually professional at all times
- Handle the distribution of internal and external mail, including coordination with courier services for shipments
- Oversee cleanliness and order in shared zones such as mailrooms and lobbies
- Track office supply usage, manage reordering processes, and support invoice documentation
- Arrange printing of business cards and procurement of office materials, including promotional items and stationery
- Respond to employee inquiries through the service desk, log requests, and escalate urgent issues appropriately
- Support facility-related administrative tasks and contribute to local office events and initiatives
- Compile and provide data for recurring operational reports
Qualifications
- Fluency in both spoken and written Chinese and English is required for clear, accurate communication across diverse teams
- Strong interpersonal skills with the ability to engage respectfully and professionally with individuals from varied backgrounds
- Ability to manage multiple responsibilities—such as phone coverage, visitor coordination, and document handling—without compromising accuracy
