About the Role

Mass General Brigham's McLean Hospital is hiring a Practice Assistant II to perform both administrative and clinical functions, supporting the smooth and efficient operation of a clinical service or practice. You'll work within the Department of Endoscopy, handling routine clerical work and tasks related to patient visits.

What You'll Do

  • Perform routine administrative and clerical duties to support the clinical service or physician practice office.
  • Make patient appointments, maintain appointment records, and print schedules.
  • Greet and assist patients during check-in and check-out processes.
  • Answer telephones, assist callers with routine inquiries, and schedule appointments.
  • File materials in patient folders and process patient billing forms.
  • Scan documents into the patient medical record/LMR.
  • Call for patient medical records and laboratory test results.
  • Open, distribute, and manage unit mail and faxes.
  • Type forms, records, schedules, and memos as directed.
  • Accept co-payments as required.
  • Handle, screen, and take messages related to prior authorizations, provider questions, prescription refills, and test results.
  • Act as a 'Super User' for scheduling, registration, and billing systems, providing assistance and training to others.
  • May perform more complex or specialized functions, such as surgical scheduling or schedule changes/blocking, at a more advanced competency level.

What We're Looking For

  • A high school diploma or equivalent is required.
  • Office experience of 2-3 years is required.
  • Proficiency with the full Microsoft Office Suite.
  • Knowledge of office operations, standards, and procedures, including filing, copying, scanning, printing, and faxing.
  • Ability to use phone systems and manage non-routine calls, solving routine issues appropriately.
  • Ability to communicate effectively in writing and verbally to convey information clearly.
  • Ability to understand written work documents, correspond clearly, and take complete, accurate messages.
  • Strong time management skills to manage your own time and multiple tasks effectively, follow established protocols, and work within systems.
