Paradox is seeking a Personal Assistant to the CEO to provide comprehensive administrative and personal support. Your primary mission is to maximize the CEO's focus on core responsibilities by managing schedules, handling personal affairs, and proactively improving processes.
What You'll Do
- Manage the CEO's dynamic schedule, including meetings, appointments, and complex travel arrangements.
- Manage personal affairs, including reminders for important dates, personal calendar management, family event planning, and sending cards or gifts.
- Assist in preparing and editing documents, presentations, and reports.
- Handle online orders, product returns, and service issues.
- Take care of paying bills and managing personal errands like grocery shopping, meal preparation, and coordinating household repairs.
- Maintain the highest level of confidentiality and discretion in all matters.
- Organize and maintain accurate, up-to-date records and files, including contracts and legal documents.
- Help find the best external vendors and negotiate terms tirelessly.
- Copy, scan, and fax documents as needed.
- Take comprehensive notes during meetings.
- Clean the CEO's office and refill items when necessary.
- Organize and manage a filing system, both paper-based and digital using Google Drive and Notion.
- Constantly assess daily tasks and identify areas where processes can be streamlined for greater efficiency.
- Propose new tools or processes to help the CEO stay organized and productive.
- Research and provide recommendations on best practices for personal assistants.
- Maintain a positive, proactive attitude to support the CEO effectively.
- Support the organization of company events and initiatives.
- Support the CEO in public speaking engagements and interviews.
- Assist with special projects and initiatives as assigned.
