About the Role

Peter MacCallum Cancer Centre is hiring a Personal Assistant for a fixed-term role covering a 12-month maternity leave period from late April 2026. You will provide comprehensive operational and administrative support to internationally recognised clinician scientist Professor Sherene Loi and the Loi Laboratory, ensuring the efficient management of tasks in this fast-paced environment.

What You'll Do

  • Manage pre and post award processes for internal and external funding applications, including grant and fellowship submissions.
  • Track milestones and contractual obligations.
  • Organise complex travel and conference arrangements.
  • Prepare and submit invoices and financial reimbursements.
  • Administer lab member leave.
  • Coordinate events as required.
  • Take minutes as required.
  • Assist with recruitment and other general administrative tasks.
  • Liaise with patients.
  • Assist with Professor Loi's clinic schedule.
  • Retrieve results, histories, and other information for inpatients.
  • Liaise with the Clinical Trials Team.
  • Assist with human ethics administration.
  • Respond to changes in patient suitability for trials.

What We're Looking For

  • Minimum 3 years' experience providing administrative support to executives or academic leaders in a complex, multi-faceted environment.
  • Demonstrated experience in a healthcare, research, or academic setting.
  • Proven ability to contribute effectively as a participative and supportive team member.
  • Discretion in handling confidential and sensitive information.
  • Professionalism in all forms of communication.
  • A track record of providing excellent customer service.
  • Highly developed communication and organisational skills.
  • A proactive and solutions-focused approach.
  • Ability to work autonomously and effectively while managing time-sensitive arrangements.
  • Computer proficiency.

Nice to Have

  • Experience in business and financial management processes.
  • Experience working with clinical data.
  • Understanding of medical terminology.
  • Qualifications in a health-related discipline.
  • Experience working within a healthcare and/or scientific setting.
  • Experience with Patient Administration systems.
