Role Overview
This part-time position supports patient access operations by ensuring accurate registration, insurance verification, and appointment coordination. The specialist plays a key role in delivering a positive patient experience through clear communication, data accuracy, and adherence to compliance standards.
Key Responsibilities
- Collect and verify patient demographic and insurance information according to organizational protocols
- Confirm insurance eligibility using real-time tools and phone-based methods
- Perform medical necessity checks and communicate scheduling options when services are not immediately viable
- Support patient financial awareness by providing out-of-pocket cost estimates upon request
- Ensure proper documentation in electronic systems, including accurate order retrieval and registration notes
- Coordinate with clinical departments and physician offices to schedule appointments efficiently
- Escalate complex issues to team leads while maintaining confidentiality and compliance with HIPAA
- Engage in quality assurance activities to uphold data integrity and process accuracy
- Participate in cross-training and team collaboration to maintain coverage across units
- Contribute to process improvement by identifying inefficiencies and suggesting practical solutions
- Communicate clearly with patients and staff, adapting to diverse communication needs
- Respond to service challenges with effective recovery strategies and timely resolution
- Maintain awareness of evolving healthcare policies and adjust workflows accordingly
Required Qualifications
- Demonstrated commitment to ethical standards, patient confidentiality, and regulatory compliance
- Proficiency with electronic health record systems, including Epic, NDAS, and ASF
- Strong attention to detail when entering and verifying patient data
- Ability to manage multiple tasks efficiently and meet deadlines
- Experience in insurance verification and understanding of benefit structures
- Effective communication skills for interacting with patients and internal teams
- Willingness to adapt to changing schedules, including weekday evenings and one Saturday per pay period
- Active participation in team problem-solving and continuous improvement initiatives
Work Environment
This is an onsite role located at the McHenry Woodstock Registration site. The schedule includes some variation to meet operational demands, with regular weekday hours and one Saturday shift per pay period. The environment emphasizes collaboration, compliance, and patient-centered service.
Technical Requirements
Familiarity with Epic, NDAS, ASF, online order retrieval systems, and real-time eligibility (RTE) tools is essential for daily operations.
