Akvelon is hiring an Office Manager in Zagreb (part-time)

About the Role

Akvelon is looking for a part-time Office Manager to support our Zagreb office and ensure smooth daily operations. You will be central to providing administrative support, managing office logistics, and coordinating team events.

What You'll Do

  • Provide administrative support, including scheduling appointments and maintaining office supplies.
  • Oversee day-to-day office operations, coordinating repairs, managing equipment, and overseeing security.
  • Perform personnel management tasks, such as conducting orientation for new employees and managing employee records.
  • Monitor and control office expenses, prepare financial reports, and coordinate with the finance department.
  • Plan and coordinate company events like meetings, conferences, and parties, including arranging venues, managing logistics, and coordinating with vendors.
  • Maintain files, records, and databases, ensuring compliance with data protection and privacy regulations.
  • Improve office efficiency and productivity.
  • Supervise and provide support to administrative staff, assigning tasks and providing guidance and training.

What We're Looking For

  • Fluent and excellent communication skills in English (B2-C1).
  • Croatian language at an intermediate level (B1).
  • Good knowledge of MS Office packages and tools for remote work like Slack, Outlook, Excel, and Jira.
  • Experience working with Google Docs, Google Sheets, and other Google Workspace applications.
  • Strong organizational skills and a sense of responsibility.
  • Willing to work onsite from the Zagreb office.

Nice to Have

  • Experience working in a remote or hybrid company.
  • 1+ years of experience in a similar position, preferably in an international, multicultural organization in its growth phase.
  • Very good organization of your own work and space.
  • Awareness that cordiality and the ability to build good relationships with colleagues is key.
  • Communicative Russian language skills (B1-B2) is a plus.
