About the Role

ScaleSource is hiring a full-time Office Assistant to provide direct customer service and administrative support to the company owner and leadership team. In this remote role, you will be the front line for customer interaction and a key organizer for internal workflows, ensuring smooth operations for a growing company.

What You'll Do

  • Respond promptly to customer inquiries via phone, email, and text.
  • Provide accurate information about services, pricing, and next steps.
  • Assist customers with appointment scheduling and service coordination.
  • Follow qualification scripts to determine service fit and gather client details.
  • Coordinate appointments efficiently using calendar management tools.
  • Communicate appointment details to customers and sales teams.
  • Contact completed clients to request feedback and online reviews.
  • Provide administrative assistance to sales staff and leadership.
  • Track task completion and appointment progress.
  • Follow up with team members to ensure deadlines and commitments are met.
  • Support internal coordination and workflow organization.

What We're Looking For

  • Proven experience in customer service or administrative support roles.
  • Strong verbal and written English communication skills (C1/C2).
  • Comfortable working extensively on phone and customer interactions.
  • Strong organizational skills and ability to manage multiple tasks.
  • Experience using RingCentral or similar communication platforms.
  • Experience with spreadsheets and data entry tools.
  • Ability to work independently in a fast-paced remote environment.
  • Must have a professional remote work setup and reliable internet.
  • Must come off friendly when speaking to others/customers and not be shy with commercial customers.
  • Strong Zoom presence and communication required.

Nice to Have

  • Familiarity with marketing or customer outreach tools.

Team & Environment
