Scalesource is hiring a remote Office Assistant / Business Development Coordinator to support front-office operations and sales pipeline growth for a U.S. home services franchise. In this high-impact role, you will act as the essential bridge between inbound leads, field estimators, and closed revenue.
What You'll Do
- Answer inbound calls and online inquiries, qualify leads, and gather required project information.
- Schedule on-site estimates efficiently, confirm appointments, and send reminders.
- Track estimate status (scheduled, completed, proposal sent, closed, lost).
- Conduct disciplined follow-ups on open bids and communicate with customers to move deals forward.
- Maintain accurate CRM updates, tracking lead source, status, and next steps.
- Follow up with warm or inactive leads and support light outbound outreach efforts.
- Assist with documentation and reporting, coordinating internal communication between office and field.
- Support invoicing and basic financial tracking and maintain organized digital files.
What We're Looking For
- Strong English communication skills (spoken and written).
- 2+ years in administrative support, sales coordination, or service-based office roles.
- Experience handling inbound customer communication.
- Experience working with CRM systems.
- Strong follow-up discipline and organizational skills.
- Availability to overlap with U.S. business hours (PST, CST, EST).
- Professional and quiet remote work setup (PC) with reliable high-speed internet.
- Strong Zoom presence and polished communication skills.
- Ability to balance client interactions with administrative responsibilities.
- Submission of an introductory video is required as part of the hiring process.
Nice to Have
- Experience in home services (roofing, gutters, HVAC, plumbing, restoration).
- Experience supporting sales teams or estimators.
- Experience with HubSpot, ServiceTitan, Zoho, Salesforce, or similar CRM.
- Experience tracking bids or proposals.
