Hunt St is looking for a Legal Operations Assistant (005‑0555) to keep our well‑developed legal systems running smoothly. You will be the operations backbone for our consulting practice and a go‑to link between our lawyers, ensuring professional delivery for sophisticated client needs.

What You'll Do

  • Set up new matters and onboard clients.
  • Manage calendars, meetings, and organise client sessions (Zoom/in‑person).
  • Format and manage documents, letters, advice, deeds, and packs in firm style.
  • Run invoicing: draft invoices based on agreed fees, track payments, and follow up.
  • Ensure files are opened, maintained, and closed properly within the practice system.
  • Open new files and run basic conflict checks.
  • Prepare and send cost agreements and engagement letters.
  • Follow up on signed agreements and initial client information.
  • Set up digital folders and naming conventions for each matter.
  • Book internal scoping and review sessions with the Head of Legal.
  • Prepare execution versions of documents (print, PDF, DocuSign).
  • Print, assemble, and post documents as needed.
  • Log all incoming and outgoing mail in the mail registry.
  • Arrange couriers and track key deliveries.
  • Maintain and order stationery and basic office supplies.
  • Process trust receipts and simple reconciliations under instruction.
  • Prepare basic trust and fee reports for sign‑off.
  • Save all key emails and documents in the correct file.
  • Keep a simple “matter status” list updated.
  • Finalise and archive closed files according to policy.
  • Send closing and thank‑you emails where appropriate.
  • Triage and facilitate leads in conjunction with the Head of Legal.

What We're Looking For

  • Must have professional services admin experience.
  • Confident with MS Office, PDF editing, word‑processing, and document management systems.
  • Take pride in tidy files, robust processes, and ownership of quality.
  • Communicate professionally with clients and colleagues.
  • Enjoy being the person who “just makes things work.”
  • You need to be organised, reliable, and willing to own the admin side end‑to‑end.
  • Must be Philippines‑based.

  • Professional services admin experience preferably in the legal or law industry.

Benefits & Compensation

  • Monthly salary: $1,500 – $2,500 AUD
