Role Overview
This position acts as the primary contact for landowners involved in renewable energy projects, providing clear and professional support throughout the lifecycle of land agreements. The Land Administrator ensures accurate administration of payments, ownership records, and legal documentation while maintaining compliance with real estate and tax regulations.
Key Responsibilities
- Respond promptly to landowner inquiries via phone, email, and mail, clarifying payment details, royalty calculations, and lease terms in accessible language.
- Manage the landowner web portal, guiding users and distributing necessary forms and instructions efficiently.
- Investigate and resolve discrepancies in payments, including outdated checks, banking updates, tax withholdings, and calculation variances, coordinating with accounting teams as needed.
- Process change of ownership requests by reviewing legal documents such as deeds, probate filings, affidavits, trust amendments, and W9/ACH forms, ensuring accurate updates to ownership and payment records.
- Analyze leases, easements, surface use agreements, and options to support compliance and resolve land-related questions.
- Maintain meticulous records in land management systems, including document indexing, communication logs, and version control to ensure data integrity.
- Draft formal correspondence such as payment explanations, ownership packets, and legal notices in coordination with the legal team, adhering to contractual timelines.
- Collaborate with legal, development, operations, and finance teams to resolve title issues, boundary discrepancies, and property damage claims, supplying accurate land data as required.
- Track and report on case volume, resolution times, and recurring issues, contributing to process improvements and updates to standard operating procedures.
- Support audit requests and regulatory compliance efforts by compiling and verifying documentation.
- Attend landowner meetings, open houses, and site visits as needed to strengthen community relationships and support project execution.
- Demonstrate consistent professionalism in customer interactions, using empathy and clear communication to manage sensitive or challenging conversations.
- Ensure adherence to privacy laws, real estate regulations, tax reporting standards (including 1099 requirements), and internal policies.
Qualifications
- Associate’s or Bachelor’s degree in Business, Real Estate, Energy Management, Paralegal Studies, or a related field; equivalent experience may be considered.
- Minimum of two years in land administration, lease management, title, right-of-way, or real estate operations, with direct experience in landowner relations and payment processing.
- Proven ability to interpret legal documents such as leases, easements, and ownership agreements, with working knowledge of real estate law, title chains, legal descriptions, probate, trusts, LLCs, and notary requirements.
- Understanding of rent and royalty calculations, decimal interest distributions, unclaimed property rules, and tax reporting implications.
- Proficient in land management databases, document control systems, ticketing platforms, and financial software. Strong skills in Microsoft Excel (including lookups and pivot tables) and Word are required, along with accurate data entry.
- Excellent communication and active listening skills, with the ability to explain complex topics clearly and professionally.
- Strong organizational abilities, with attention to detail, confidentiality, and the capacity to manage high-volume workloads within deadlines.
- Valid driver’s license and willingness to travel up to 10%, including participation in a hybrid work schedule based in Houston.
