The Install Operations Coordinator plays a central role in managing the end-to-end HVAC installation process. This position ensures every job is fully prepared, accurately documented, and scheduled efficiently, directly contributing to customer satisfaction and operational excellence.
Key Responsibilities
- Assign sales representatives to new leads and verify post-call documentation for accuracy and next steps.
- Conduct thorough audits of jobs to confirm permits, equipment specifications, and financing are in place prior to installation.
- Finalize and schedule installations by placing jobs on the master calendar.
- Support real-time communication between field technicians and remote advisors to resolve on-site challenges quickly.
- Guide customers through financing applications and assist with required documentation.
- Act as the main contact for installation concierge inquiries, confirming dates and relaying job details to field teams.
- Verify all data in install checklists is complete and correct before work begins.
- Provide administrative support to leadership, ensuring operational workflows run smoothly.
Qualifications
Applicants should have prior experience in scheduling, project coordination, or fast-paced administrative environments. Familiarity with HVAC systems and installation timelines is a strong advantage. Proficiency with scheduling platforms and standard office software is expected.
Success in this role requires a detail-oriented mindset, the ability to manage multiple priorities, and strong communication skills to connect effectively with sales, technicians, and customers across different time zones.
Work Environment
This is a fully remote position with one weekend shift per month required. The role includes up to two weeks of paid in-person training in Topeka, KS, with travel and lodging covered. Occasional travel (up to four times per year) may be needed for team meetings, site visits, or training.
Compensation & Benefits
