Williams Lea Limited is hiring a Hybrid Remote Billing Associate to provide a variety of administrative support functions for our site and clients. In this role, you will handle tasks such as expense reports, time entry, invoice processing, calendar management, and phone support, ensuring high-quality service while working a schedule of Monday through Friday, 11am to 8pm.
What You'll Do
- Perform administrative support work, including answering phone lines, providing customer service, editing documents, and data entry for expenses, time, and invoices.
- Create reservations and schedule meetings, conference rooms, travel, and hospitality services.
- Oversee confidential company information, including corporate credit cards, distribution lists, and employee data.
- Utilize logs and tracking software for all administrative work, ensuring job tickets are properly filled out.
- Assess job requests thoroughly and ensure appropriate completion of tasks throughout their lifecycle.
- Communicate effectively with team members, leads, supervisors, and clients regarding job status or deadline issues.
- Meet all contracted deadlines for accepting, completing, and delivering work.
- Troubleshoot basic equipment problems and interact professionally with clients via phone, video, or email.
- Prioritize workflow and perform Quality Assurance on your own work and the work of others.
- Adhere to both Williams Lea and client site policies, using equipment and supplies in a cost-efficient manner.
What We're Looking For
- High school diploma or equivalent education.
- Minimum of one (1) year of administrative support experience in a professional organization.
- Skilled in MS Office software (Word, Excel, PowerPoint) with strong keyboarding and typing skills.
- Strong attention to detail with emphasis on accuracy and quality, plus excellent organizational skills.
- Ability to meet deadlines, handle sensitive information with discretion, and exercise good judgment.
- Good problem-solving skills with an understanding of when to escalate issues to a supervisor.
- Ability to maintain composure under deadline pressure, work both independently and collaboratively, and thrive in a fast-paced environment.
- Professional verbal and written communication skills.
- Proficiency with necessary equipment, technology, software, and hardware.
- Must be self-motivated with a positive attitude and possess proven customer service skills.
Nice to Have
- Administrative support experience in the legal or banking industry.
- Formal education and/or training that may be considered in lieu of experience.
- Familiarity with other software programs used for administrative support.
