Responsibilities
- Process biweekly or semi-monthly payroll for employees across multiple U.S. states, ensuring accuracy, timeliness, and compliance with federal and state laws.
- Maintain payroll records and reports according to legal requirements and company policies.
- Set up and manage employee payroll information, including tax withholdings, benefits deductions, direct deposits, garnishments, and bonuses.
- Liaise with finance and HR to validate payroll inputs and maintain consistent data across systems.
- Reconcile payroll-related general ledger accounts and support month-end and year-end payroll closings.
- Prepare and submit payroll tax filings, coordinating with external vendors when necessary.
- Assist with onboarding and offboarding employees in relation to payroll and HR documentation.
- Support benefits administration including enrollments, deductions, and updates.
- Respond to employee inquiries regarding payroll, benefits, or administrative procedures.
- Prepare reports and summaries for management and support ad hoc HR and operational tasks as needed.
Requirements
- 3+ years of experience in payroll processing, particularly multi-state U.S. payroll.
- Strong knowledge of federal and state payroll regulations, tax laws, and compliance requirements.
- Experience with payroll software such as ADP, Paychex, Gusto, QuickBooks Payroll, or similar.
- Proficiency in Microsoft Excel and Google Workspace.
- Exceptional attention to detail, accuracy, and confidentiality.
- Strong organizational skills and ability to manage multiple tasks simultaneously.
- Effective communication and collaboration skills to work across HR, finance, and operational teams.
