Responsibilities
- Define and evolve a company-wide workplace strategy across multiple offices and hybrid setup.
- Align workplace operations with business goals, growth plans, and expansion strategy.
- Own budget planning, forecasting, and cost optimization across all locations.
- Establish and track KPIs for operational excellence and employee experience.
- Design scalable standards, policies, and systems for all current and future offices.
- Own end-to-end office operations across multiple locations.
- Lead office launches in new locations, from vendor sourcing and negotiations to setup and go-live.
- Ensure reliable, high-quality day-to-day operations across all workplaces.
- Manage vendors, contracts, procurement, and service delivery at scale.
- Oversee travel operations and company-wide mobility support.
- Build and continuously improve administrative processes, tools, and systems.
- Partner closely with HR, IT, Security, and Finance to ensure aligned workplace operations.
- Act as the company-wide owner of workplace-related topics.
- Support leadership with insights, reporting, and recommendations.
- Ensure clear, consistent communication across offices and locations.
- Build, lead, and scale a distributed office/admin team across locations.
- Define team structure, roles, and ways of working.
- Set goals, track performance, and drive accountability.
- Foster a culture of ownership, operational excellence, and continuous improvement.
- Support growth and development of team members.
- Analyze office usage, employee needs, and workplace data to inform decisions.
- Evaluate and implement tools and systems (desk booking, attendance, travel, etc.).
- Identify gaps, inefficiencies, and opportunities for standardization and scaling.
- Make data-informed decisions on locations, vendors, and operational models.
Requirements
- 5+ years in Office Administration / Operations, including leadership experience.
- Proven experience managing office operations at scale (multi-location is a plus).
- Strong vendor management and contract negotiation skills.
- Experience with budgeting, forecasting, and cost control.
- Ability to work cross-functionally and influence stakeholders.
- Strong organizational skills and ability to handle competing priorities.
- Fluent English (for cross-team communication).
Nice to Have
- Experience in tech/product companies.
- Familiarity with workplace tools (desk booking, attendance, travel systems).
- Experience building or scaling hybrid work environments.
