NinjaOne is seeking a detail-oriented Global Travel Coordinator to support our global travel program. You will manage day-to-day travel arrangements in Navan, assist with travel reconciliation, and ensure seamless travel experiences for NinjaOne employees worldwide.
What You'll Do
- Coordinate global travel arrangements for employees, candidates, and partners, including flights, ground transportation, and lodging.
- Book and manage travel through Navan, ensuring accuracy in dates, spelling, and details for each itinerary.
- Support virtual travel card usage, expense reconciliation, and reporting in partnership with Finance and Airbase.
- Act as the first line of support for employee travel questions, issues, or disruptions, escalating complex matters to the Sr. Manager as needed.
- Ensure compliance with NinjaOne’s travel policies and proactively communicate guidelines to travelers and arrangers.
- Maintain organized travel records, confirmations, and documentation for each trip.
- Assist in tracking travel data, preparing reports, and identifying trends to support program optimization.
- Collaborate with airlines, hotels, and vendors to resolve issues and provide timely solutions.
- Partner with the Sr. Manager and broader team on global travel projects, such as hotel programs, policy rollouts, and communications.
- Provide on-call travel coordination support during evenings or weekends when needed.
- Other duties as needed.

Nice to Have
- 2+ years of corporate travel coordination or related experience, ideally in a global environment.
- Proficiency with Navan (or similar travel management systems).
- Familiarity with expense systems such as Airbase.
