Key Responsibilities
- Organize and maintain digital files, meeting notes, and research materials in cloud-based systems
- Enter and manage data including lead lists, payroll details, and campaign information
- Conduct product research, place orders, and coordinate sample deliveries
- Use CRM platforms to track marketing data, update client records, and generate reports
- Issue invoices, monitor payments, and log company expenses accurately
- Research industry trends and compile actionable insights from public sources
- Manage team schedules to avoid conflicts and ensure timely client engagement
- Plan travel itineraries, including accommodations and transportation bookings
- Handle incoming calls, schedule appointments, and conduct follow-up inquiries
- Manage email correspondence, prioritize messages, and maintain inbox organization
- Complete various administrative tasks as needed
What You’ll Need
- Minimum of 6 months to 1 year of virtual assistant experience
- Completed high school education; additional training a plus
- Strong written and verbal communication skills in English and Spanish
- Ability to work night shifts aligned with US time zones
- Proficiency with MS Office, Google Calendar, CRM tools, and cloud services
- Familiarity with desktop sharing, VoIP, and remote collaboration platforms
