Horizon Recovery is hiring a remote Financial and Medical Records Specialist to join our finance team. You will manage the end-to-end process for medical records requests, ensuring strict compliance with privacy laws while supporting finance operations during low-volume periods.
What You'll Do
- Receive, log, and acknowledge all incoming medical records requests from families, payers, and legal entities.
- Verify requestor authority, confirm authorization scope, and apply minimum necessary and privacy standards.
- Route requests to treating clinicians and providers for written approval before any release.
- Review subpoenas and complex legal matters, escalating to the Privacy/Compliance contact as needed.
- Retrieve, paginate, assemble, and redact record sets from the EHR; deliver securely via encrypted methods.
- Maintain a detailed, auditable log of all releases, tracking date, contents, recipient, and method.
- Meet internal SLAs and legal timeframes, proactively communicating status to requestors.
- Perform self-checks and participate in ROI audits, remediating findings promptly.
- Monitor EOBs, send templated collection letters to families/guardians, and track follow-ups.
- Prepare and send statements and invoices via an email-first workflow, reconciling undeliverable messages.
- Provide documentation to our external billing company when proper authorizations are on file.
- Assist with data entry, basic reconciliations, and file hygiene during low-volume records periods.
- Maintain clear, courteous, and trauma-informed email communications.
- Contribute to refining SOPs, templates, and checklists to improve speed and accuracy.
What We're Looking For
- 2+ years in medical records, health information management, or billing/finance within a healthcare setting.
- Proven knowledge of HIPAA privacy/security, the minimum necessary standard, and awareness of protections for behavioral health.
- Strong written communication skills for an email-centric role; concise, professional, and empathetic.
- High accuracy in document handling, PDF redaction, and file organization.
- Proficiency with EHR/document management systems, secure email/encryption, eFax, and Microsoft 365/Google Workspace.
Nice to Have
- Experience serving adolescent/family populations or behavioral health programs.
- Prior work supporting a third-party billing company or payer audits.
- Familiarity with ROI nuances for minors/guardianship, custody orders, and psychotherapy notes.
- Basic accounting support skills like invoicing, payment posting, and EOB interpretation.
- RHIT, CHDS, CHPS, or comparable certification (or progress toward one).
