Responsibilities

  • Manage and maintain executive calendars, scheduling meetings, appointments, and travel arrangements.
  • Coordinate and prepare for high-level meetings, including setting agendas, preparing materials, and taking minutes.
  • Handle incoming communications, including emails, calls, and visitors, directing them to the appropriate team members.
  • Organize and facilitate internal and external events, ensuring all logistics are managed efficiently.
  • Prepare and distribute reports, presentations, and other documents as needed.
  • Manage expense reports and reimbursements for executives.
  • Oversee office operations, including ordering supplies and managing office equipment.
  • Assist in the preparation of executive-level documents and presentations.
  • Coordinate with other departments to ensure smooth operations and effective communication.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Provide administrative support to the executive team, including data entry and filing.
  • Assist in the onboarding process for new team members, ensuring they have the necessary resources and information.
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation.
  • Manage project timelines and deadlines, ensuring all tasks are completed on schedule.
  • Prepare and distribute meeting agendas, ensuring all relevant information is included.
  • Coordinate with external vendors and service providers, negotiating contracts and managing relationships.
  • Assist in the preparation of budgets and financial reports, ensuring accuracy and compliance.
  • Provide support during executive presentations and meetings, ensuring all necessary materials are available.
  • Manage and maintain executive files and records, ensuring they are up-to-date and organized.
  • Coordinate with the IT department to ensure all technology needs are met and resolved promptly.
  • Assist in the preparation of executive-level communications, including emails and memos.
  • Manage and maintain executive expense accounts, ensuring all expenses are tracked and reimbursed accurately.
  • Provide administrative support to the executive team, including data entry and filing.
  • Assist in the preparation of executive-level documents and presentations.
