Varian Medical Systems, Inc., a Siemens Healthineers Company, is looking for an Executive Assistant to provide high-level administrative, organizational, and operational support to senior leadership within Medical Affairs (ROS), Cardiac Radioablation and Research Collaborations. You will serve as a key partner to leadership, enabling efficient execution of strategic, clinical, and business priorities in a fast-paced, complex environment.
What You'll Do
- Promote and follow proper compliance, confidentiality, and quality system requirements in all administrative and operational activities.
- Provide comprehensive calendar management, meeting coordination, and domestic/international travel planning for senior leaders.
- Coordinate internal and external meetings, including preparation of agendas, briefing materials, presentations, and follow-up action items.
- Serve as a primary point of contact between executives and internal teams, external partners, government entities, and key stakeholders.
- Support cross-functional coordination across medical affairs, regulatory, clinical research, marketing, and commercial teams as needed.
- Assist with preparation, editing, and formatting of reports, presentations, correspondence, and other executive-level documents.
- Track priorities, deadlines, and deliverables to ensure timely execution of leadership initiatives and commitments.
- Provide logistical and administrative support for regional, national, and international scientific, medical, and regulatory meetings.
- Handle sensitive and confidential information with the highest level of discretion and professionalism.
- Identify opportunities to improve administrative processes, workflow efficiency, and communication effectiveness.
- Leverage internal resources and tools to support leadership effectiveness and organizational alignment.
What We're Looking For
- Associate’s degree.
- Minimum 5+ years of experience supporting senior executives in a matrixed organization.
- Excellent verbal and written communication skills in English.
- Strong organizational skills with the ability to manage multiple priorities and complex schedules simultaneously.
- Demonstrated ability to operate effectively in a fast-paced, high-visibility, and confidential environment.
- High level of professionalism, judgment, and interpersonal skills.
- Proficiency with standard business software (Microsoft Office, collaboration tools, and travel/expense systems).
- Ability to work independently while collaborating effectively with global teams.
Nice to Have
- Bachelor’s degree or equivalent experience.
- Prior experience in healthcare, medical devices, life sciences, or a regulated industry.
