About the Role
Provide comprehensive administrative support to a senior executive, managing complex schedules, coordinating projects, and ensuring efficient operations.
Responsibilities
- Manage complex calendars and schedules, including coordinating meetings and travel arrangements.
- Prepare and edit documents, presentations, and reports.
- Coordinate and support projects, including tracking progress and ensuring deadlines are met.
- Handle confidential information with discretion and professionalism.
- Screen and direct calls and emails, ensuring effective communication.
- Organize and maintain files and records, both physical and digital.
- Assist in the preparation of reports and presentations for senior management.
- Coordinate with internal and external stakeholders to facilitate smooth operations.
- Plan and execute events, including logistics and attendee management.
- Manage expense reports and reimbursements.
- Provide backup support to other administrative staff as needed.
- Maintain office supplies and equipment, ensuring they are well-stocked and functional.
- Assist in the onboarding process for new employees, including orientation and training.
- Coordinate with IT department for technical support and troubleshooting.
- Prepare agendas and take minutes during meetings.
- Manage and distribute mail and correspondence.
- Assist in the preparation of budgets and financial reports.
- Coordinate with vendors and service providers for office needs.
- Maintain a clean and organized workspace.
- Handle travel arrangements, including booking flights, accommodations, and transportation.
- Assist in the preparation of travel itineraries and expense reports.
- Provide support during conferences and events, including logistics and attendee management.
- Coordinate with human resources for employee-related matters.
- Assist in the preparation of performance reviews and evaluations.
