VentureCopilot was looking for an Executive Assistant

Support global leaders who are shaping the future of business. In this role, you'll ensure smooth day-to-day operations for executives and founders by managing complex calendars, coordinating international travel, and maintaining clear communication across teams and time zones.

What You’ll Do

  • Manage executive schedules with attention to priority, deadlines, and global time differences, ensuring maximum efficiency.
  • Act as a trusted point of contact between executives, clients, and partners, handling correspondence and communications with clarity and professionalism.
  • Track operational projects from start to finish, monitoring progress, identifying roadblocks, and delivering updates to keep initiatives on track.
  • Prepare meeting materials, take accurate notes, and follow through on action items to maintain momentum and accountability.
  • Anticipate needs before they arise, offering practical solutions that improve workflow and support strategic decisions.
  • Handle email correspondence—screening, prioritizing, and drafting messages—with a focus on timeliness and tone.
  • Plan and coordinate detailed travel itineraries, including flights, accommodations, and documentation for international trips.
  • Organize and maintain critical documents, contracts, and reports for quick access and reliable recordkeeping.
  • Conduct targeted research on industry trends or operational topics, distilling insights to inform leadership discussions.
  • Provide consistent administrative support that enhances overall operational effectiveness.

What We’re Looking For

  • Minimum of 2 years of experience supporting senior leaders in executive, operational, or project coordination roles.
  • Exceptional organizational abilities with a track record of managing multiple priorities under tight timelines.
  • Fluency in English, French, and Arabic, both written and spoken, with strong drafting and communication skills.
  • Proficiency in Google Workspace (Docs, Sheets, Calendar), Notion, and project management tools such as ClickUp or Trello.
  • A forward-thinking mindset with strong problem-solving skills and the ability to act independently.
  • Proven experience tracking projects, coordinating tasks, and delivering status reports.
  • High standards for confidentiality and professionalism when handling sensitive information.

Nice to Have

  • Experience arranging international travel for executives.
  • A bachelor’s degree or equivalent professional experience.
