As an Executive Assistant, you will play a pivotal role in enabling the success of executives, founders, and entrepreneurs across international markets. Your ability to manage dynamic priorities and maintain seamless operations will directly contribute to strategic outcomes.
What You'll Do
- Manage calendars with precision, aligning meetings, deadlines, and time-sensitive commitments across multiple time zones.
- Serve as a trusted point of contact between executives and external partners, ensuring clarity and consistency in all communications.
- Lead coordination of key operational initiatives, tracking progress, identifying roadblocks, and reporting updates to stakeholders.
- Prepare materials for internal and client-facing meetings, including agendas, presentations, and follow-up summaries.
- Stay ahead of needs by identifying potential challenges and proposing practical solutions before issues arise.
- Handle email traffic efficiently—filtering, drafting responses, and ensuring timely follow-up on critical messages.
- Organize complex travel logistics, including flights, lodging, itineraries, and required documentation.
- Maintain well-structured digital records for contracts, reports, and operational documents to ensure quick retrieval and compliance.
- Conduct targeted research on industry developments and operational topics to inform decision-making.
- Provide reliable administrative support on an as-needed basis to enhance overall efficiency.
Requirements
- Minimum of two years in an executive support role, ideally serving senior leaders in operations, project management, or logistics.
- Demonstrated strength in organization, time management, and handling competing priorities under tight deadlines.
- Fluency in English, French, and Arabic with strong writing and interpersonal communication skills.
- Proficient in Google Workspace, Notion, and project management platforms such as ClickUp or Trello.
- Proactive by nature, with a track record of solving problems independently and improving workflows.
- Experience managing project timelines and delivering status reports.
- Unwavering discretion when handling confidential and sensitive information.
Preferred Qualifications
- Background in coordinating international travel arrangements is a strong advantage.
- A bachelor’s degree is preferred, though extensive relevant experience may be considered in its place.
