Visit.org is looking for a Freelance Event Specialist based in Kalispell, Montana to manage logistics for our in-person events. In this role, you will be the day-of, on-site coordinator responsible for setup, execution, problem-solving, and breakdown to ensure a high-quality customer experience for corporate team-building and social impact activities.
What You'll Do
- Act as the onsite Event Coordinator for team-building and social impact activities.
- Join virtual planning meetings with corporate partners, nonprofit partners, and the Visit.org team.
- Take ownership of in-person events: on-site setup, aligning with the on-site team, tear down, and cleaning site areas.
- Serve as the Visit.org representative, leader, and primary problem solver at events.
- Align roles and responsibilities with the onsite team, including the event host, nonprofit organization, venue staff, and corporate partner.
- Manage the check-in process, providing a warm and friendly welcome to guests.
- Problem-solve issues such as missing supplies, late staff, and technology challenges.
- Escalate issues to the Events Team when necessary.
- Send consistent updates, photos, and videos to the Events Team throughout the event.
- Handle event breakdown, including cleaning the site and repackaging and shipping all materials back to the distribution center.
- Pack supplies and add shipping labels, which may include loading boxes.
What We're Looking For
- Fluency in English and strong communication skills.
- Must be based in Kalispell, MT.
- Schedule flexibility with availability to work on a contract per-event basis.
- Experience in complex, large-scale events and smaller executive-level intimate events.
- Proven experience in executing events at the highest level and continuously raising the bar on content and customer experience.
- Resourcefulness, ability to exhibit grace under pressure, and a solutions-minded approach in ambiguous situations.
- A quick thinker and problem-solver on the fly.
- A self-starter who is organized and detail-oriented.
- A love for building relationships with customers and a strong enjoyment of customer service.
- Experience with group facilitation and managing group dynamics.
- Ability to work flexible hours, including nights and weekends, as needed.
- Willingness and eagerness to travel to various areas of the local region.
- Super strong interpersonal and customer service skills, especially in fast-paced situations.
- Ability to wear many hats and take on varied tasks and projects.
- Comfort being present and interacting with large crowds.
- Able to lift, slide, and carry up to 30 lbs.
- Able to stand for an extended period of time.
