FeverUp is hiring a freelance Event Coordinator for our Candlelight concert series, a unique musical and sensory experience created by candlelight. This is a part-time, freelance role that requires frequent travel to manage events, primarily on weekends. You'll be the key point of contact on-site, ensuring each event runs smoothly and represents the Fever and Candlelight brands professionally.
What You'll Do
- Coordinate event operations and logistics, including equipment transportation to and from venues.
- Liaise with artists and suppliers, negotiating rates for multiple bookings.
- Create schedules and advance key documents to all suppliers and venue staff.
- Book and train event staff through our agency staffing partner.
- Attend weekly project updates to review, action, and implement production details and policy procedures.
- Oversee inventory for storage solutions.
- Ensure Event and Incident Report forms are completed.
- Research and attend site visits for potential new venues.
- Manage scheduled event timings as the main point of contact on-site.
- Implement new or amended production details and company policies.
- Handle customer queries and complaints as the main customer service representative.
- Encourage high performance and implement improvements within your team.
- Provide photographs and feedback after each event to your Project Manager.
What We're Looking For
- 2+ years of experience in event management and/or a relevant degree.
- Interest and passion for live music and organizing events.
- Exceptional customer service skills.
- Experience leading an on-site team.
- Strong problem-solving skills.
- Ability to work effectively in a pressured environment.
Nice to Have
- Knowledge of AV and PA systems.
Team & Environment
You will report to the Project Manager and Associate Producer, coordinating closely with them and a team of on-site staff and suppliers.
Work Mode
This is a local, city-based freelance part-time position. It requires frequent travel to venues and event sites, with work primarily occurring on weekends.
