Role Overview
This position provides essential operational and administrative support for key academic programs, including the Honors College, Saint Ignatius Institute, and Horizon Collective. Working under the guidance of senior leadership, the Coordinator ensures the effective day-to-day functioning of academic initiatives through careful planning, financial oversight, and communication management.
Key Responsibilities
- Organize and implement academic events, orientations, field trips, and off-campus programs, providing logistical support before and during activities.
- Support student onboarding and ongoing engagement, helping new and returning participants integrate into programs.
- Oversee program operations, including budget tracking, purchasing, and reconciliation across multiple funding sources.
- Monitor expenditures, prepare financial summaries, and ensure compliance with university policies and procedures.
- Respond to inquiries from students, families, faculty, and partners, serving as a central contact for program-related questions.
- Draft and distribute communications via email, learning platforms, and digital channels to keep participants informed.
- Manage content updates for program websites and coordinate with marketing teams on branding and social media strategies.
- Maintain accurate records of student participation, enrollment, and academic progress using institutional systems.
- Generate reports on academic standing, track compliance with program requirements, and support referral processes.
- Supervise student assistants, including hiring, training, scheduling, and performance feedback.
- Ensure data integrity across platforms, conduct audits, and support accreditation and assessment efforts.
- Handle confidential student and program data in accordance with FERPA and institutional guidelines.
Qualifications
A bachelor’s degree is required, along with two to five years of experience in higher education administration or a related field. Candidates must demonstrate strong organizational abilities, sound judgment, and the capacity to manage multiple priorities. Proficiency in spreadsheets, databases, and learning management systems such as Canvas is essential. Experience with budget management, data analysis, and supervising student staff is highly valued. The ideal candidate is detail-oriented, discreet when handling sensitive information, and committed to advancing the institution’s academic mission.
Work Environment
This is a hybrid position, primarily based on campus with flexibility to work remotely one to two days per week when operational needs allow and with supervisor approval. Occasional evening or weekend hours may be necessary to support events or recruitment activities.
