Winning Assistants is hiring a Clinical Operations & Scheduling Coordinator to manage scheduling, review clinical documentation, and support patient communication. This part-time remote role involves close coordination with nursing leadership to ensure proper staffing and high standards of compliance.
What You'll Do
- Build, update, and maintain schedules for nurses and support staff.
- Track time-off requests, shift swaps, coverage gaps, and last-minute changes.
- Coordinate with nursing leadership to ensure proper staffing coverage.
- Communicate schedule updates promptly to nurses and management.
- Maintain clear documentation of schedule adjustments and approvals.
- Review triage charts for completeness, accuracy, and protocol adherence.
- Identify missing information, inconsistencies, or required follow-ups.
- Flag documentation patterns and share trends with nursing leadership.
- Support continuous improvement efforts to maintain high documentation standards.
- Assist with process documentation and updates as workflows evolve.
- Collect pre-call information and prepare charts for nursing review.
- Gather and verify patient demographics and relevant medical details during intake.
- Support patient communication via calls, messages, or portal-based systems.
- Schedule appointments and send reminders as needed.
- Ensure compliance with HIPAA and internal documentation standards.
What We're Looking For
- Must be proficient in speaking and writing English very clearly.
- Must have relevant work experience.
- Be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory].
- Must be available for video meetings with your camera on (when needed).
Nice to Have
- Healthcare background strongly preferred (e.g., nursing, pharmacy, medical administration, medical billing/coding, patient support).
- 1–2 years of experience preferred in patient intake, triage charting/clinical documentation, and building/managing staff schedules.
- Experience in scheduling, workforce coordination, or staffing support is strongly preferred.
- Solid understanding of medical terminology and clinical documentation standards (accuracy, completeness, and professionalism).
- Proficient in Microsoft Office and Google Workspace (Docs/Sheets/Calendar, Outlook/Excel/Word).
- Tech-savvy and adaptable, comfortable learning new systems and workflows quickly.
