About the Role

University of Iowa Health Care is looking for a Clinic Services Specialist to be responsible for scheduling patient appointments and visits across multiple outpatient clinics, adhering to the guidelines of IRL and the Patient Appointment Center. You will participate in daily phone coverage for several departments and serve as a mentor, role model, and service excellence ambassador for staff, co-workers, patients, and visitors.

What You'll Do

  • Schedule patient appointments and visits in multiple outpatient clinics using the EPIC system.
  • Assist with problem-solving scheduling issues and follow scheduling policies.
  • Attend scheduling staff meetings and provide scheduling coverage in staff absences.
  • Coordinate provider schedules (Master schedules, daily templates, and clinic closures) for assigned clinics.
  • Serve as an intermediary between patients, frontline staff, and nursing personnel for scheduling concerns and medical needs.
  • Negotiate appointments with patients and other departments, and negotiate schedule changes with providers.
  • Explain scheduling policies to other schedulers as needed.
  • Collaborate with peers to enhance healthcare delivery and provide feedback to management on service improvements.
  • Contribute ideas to improve assigned processes.
  • May provide training and functional supervision for check-in/check-out services and students/temporary staff.
  • May analyze, monitor, and report financial data.

What We're Looking For

  • A Bachelor’s degree or an equivalent combination of education and experience.
  • Six months to one year of administrative experience.
  • Proficiency in computer spreadsheet and database applications.
  • Excellent written and verbal communication skills.

Nice to Have

  • Experience with hospital operations and/or Ambulatory Clinic operations.
  • Experience with the Epic system.
