West Virginia University Health System is hiring a Centralized Scheduler to join our team remotely. You will be responsible for the scheduling, canceling, rescheduling, and registering of outpatient visits and procedures across multiple ambulatory clinics. Your core function is to collect all necessary information to accurately prepare schedules and registrations.
What You'll Do
- Check in and check out patients following Scheduling/Registration guidelines, prioritizing based on patient needs.
- Obtain and verify patient guarantor information at least once a year to ensure records are current.
- Schedule and register patients based on established guidelines and medical appropriateness for the clinic.
- Coordinate all follow-up appointments and testing with the patient upon check-out.
- Collect all necessary information from the patient to successfully schedule and register for an appointment.
- Identify and communicate needs for scheduling modifications and development.
- Notify appropriate personnel of scheduling changes due to patient cancellations in a timely manner.
- Receive and respond appropriately to patient and staff needs and complaints within the patient care environment.
- Consult with referring physician offices to ensure and obtain necessary written or electronic orders.
- Collect all time-of-service payments and copayments from patients during the check-in or check-out process.
- Reconcile cash drawer and contents at the end of each day.
- Collect all required signatures on managed care waivers at the point of check-in.
- Complete Workques and daily tasks in a timely fashion according to the scheduling area.
- Respond to all patient communications promptly.
What We're Looking For
- High School diploma or equivalent.
- Ability to pass state criminal background check and federal checks (if applicable) as required for regulated areas.
