Gilead Sciences, Inc. is seeking a Business Unit Coordinator for our HIV division. Reporting to the Senior Business Unit Director, HIV, you will be accountable for a diverse range of planned and ad-hoc tasks and projects, with a focus on value-add project-based activity across the entire unit.
What You'll Do
- Manage OPEX across the HIV Business Unit, working closely with functional leaders and finance to ensure alignment with budget.
- Handle financial requirements including accruals, invoices, supplier setup, and purchase order management.
- Support team members with troubleshooting for financial tasks as required.
- Facilitate weekly WIP meetings, capture actions, and follow up on accountability.
- Oversee contract management aligned with Gilead processes and systems.
- Coordinate large directorate events, including training and team building, managing budgets, sourcing locations, liaising with vendors, and planning activities.
- Work with HR, IT, and L&D to ensure successful onboarding of new team members, arranging IT equipment, orientation meetings, and new hire materials.
- Maintain and share the HIV Business Unit meetings and events calendar.
- Identify potential issues and opportunities, working with leadership to resolve them.
- Collaborate with the leadership team to continuously improve processes, including budget planning, best practice sharing, onboarding, and systems training.
- Share best practices and explore efficiencies within the broader affiliate.
- Understand and adhere to business conduct and industry regulatory requirements.
What We're Looking For
- Specific, working knowledge of processes related to budget tracking, invoicing, purchase orders, contract administration, and vendor relations.

- Basic PC skills (Windows, Excel, Word, PowerPoint).
- Experience with electronic document management systems.
Nice to Have
- Bachelor’s Degree in Business, Science, or Finance.
- Project Management and/or Process Improvement qualifications.
- Experience within the pharmaceutical industry.
- Working knowledge of pharmaceutical/biotech operations, preferably in a commercial capacity.
