Uptalent.io is hiring a remote, part-time Bookkeeper and Administrative Coordinator to join our team. In this role, you'll be a central support function, ensuring smooth financial operations and administrative processes for a company that connects Latin American talent with US businesses.
What You'll Do
- Track income, expenses, and categorize transactions in Google Sheets or accounting software.
- Prepare and send client invoices, follow up on late payments, and manage client subscriptions in Stripe.
- Process contractor payments using platforms like Wise or Payoneer.
- Calculate credits, adjustments, and prorated payments as needed.
- Reconcile accounts and generate basic financial reports for management review.
- Monitor overdue accounts and communicate with clients to clarify billing issues.
- Assist with budgeting and tracking vendor or project costs.
- Collect and organize contractor documents and maintain accurate records in spreadsheets and CRM.
- Welcome new contractors and ensure their payment accounts are ready before their first payment.
- Support offboarding by confirming final payments and communicating transitions.
- Help organize monthly reporting and keep digital filing systems for receipts and invoices up to date.
What We're Looking For
- A minimum of 2 years of experience in bookkeeping, accounting, or administrative support.
- Strong command of Google Sheets, including basic formulas and filters.
- Familiarity with tools like Slack, Stripe, Gmail, and Excel.
- Excellent written and spoken English.
- Strong attention to detail, high accuracy, and excellent organizational skills.
- Comfort handling financial data with confidentiality and discretion.
- A proactive, organized person who enjoys creating and improving processes.
- Comfortable speaking with clients and contractors and willing to make follow-up calls.
- Based in Latin America and available at least 2 hours per day during Eastern Time.
- A people-oriented personality who enjoys solving problems and improving systems.
- A desire to grow with Uptalent and increase responsibilities over time.
- A laptop or desktop computer with reliable internet and a quiet working environment for calls.
- Familiarity with basic remote work tools and practices.
Nice to Have
- Experience with QuickBooks, Xero, or similar accounting tools is highly preferred.
- Familiarity with Grammarly or similar tools for clear communication.
- Experience working with US-based companies.
