Treantly is hiring a part-time Automation and Systems Specialist to support the backend operations of our fast-growing coaching company. You will be responsible for building systems, improving workflows, and creating reliable automations to enhance client delivery, operations, marketing, internal team workflows, and the student experience.
What You'll Do
- Build, maintain, and optimize automation workflows using Zapier, Make, and eventually n8n.
- Create and manage advanced HubSpot workflows, custom properties, lists, triggers, and CRM logic.
- Integrate and support daily-use tech stack across multiple platforms.
- Troubleshoot system issues and ensure accurate, smooth data flow.
- Identify manual tasks and implement scalable automation solutions.
- Support internal teams by designing clean, efficient backend processes.
- Maintain consistent data across platforms such as HubSpot, Circle, Slack, and others.
- Build workflows for onboarding, student experience, coach operations, and renewal processes.
- Document systems clearly and provide simple training for internal team members.
- Handle routing logic, error handling, QA testing, and workflow optimization.
What We're Looking For
- Strong working knowledge of automation tools (Zapier, Make, n8n).
- Deep understanding of workflows, triggers, routing, and cross-platform data movement.
- Comfortable navigating HubSpot (workflows, lists, custom fields, pipelines, tickets).
- Ability to analyze processes, diagram logic, and translate them into automations.
- High attention to detail with a structured, analytical mindset.
- Excellent communication skills.
- Ability to work independently and manage multiple active projects.
Nice to Have
- Experience supporting operations in a coaching, consulting, or education business.
- Basic familiarity with API documentation (GET/POST, headers, tokens).
- Experience integrating CRMs, communities, calendars, and communication tools.
- Familiarity with Circle community tagging and automation logic.
- Understanding of database structure, data hygiene, and naming conventions.
- Comfortable using AI tools (ChatGPT, Claude, etc.) to speed up automation work.
