Montgomery County (PA) is seeking an Assistant Deputy - Operations for the office of the Register of Wills and Clerk of Orphans’ Court. This supervisory role combines office administration, staff management, and public outreach to ensure the effective operation of this critical county function.
What You'll Do
- Supervise office staff in all administrative matters for both the Register of Wills and Clerk of Orphans’ Court.
- Train employees on proper office procedures and fill in for the First Deputy and senior leadership as needed.
- Maintain staff schedules, attendance records, and the office supply system.
- Interact professionally with other County departments, the general public, and attorneys.
- Provide input into budget creation and analyze public understanding of office programs to determine needs for further public information.
- Identify appropriate outreach events and programs, ensuring proper marketing, supplies, and promotion.
- Write content for newsletters, brochures, and social media posts; take photos; and manage the office's social media and website.
- Analyze and report social media statistics, manage the PR budget, and maintain promotional items inventory.
What We're Looking For
- A Bachelor's degree from an accredited institution in a related field, or a minimum of 4-6 years of combined experience in Office Administration, Public Relations, and/or social media.
- Exceptional organizational skills and attention to detail.
- Excellent verbal and written communication skills, with the ability to teach others.
- A high degree of discretion to maintain confidentiality of all office information.
- The ability to interact professionally with various levels of management, employees, the public, attorneys, judges, and other court and county offices.
- Complete knowledge of the office computer system as it relates to the operations of the Register of Wills and Clerk of Orphans’ Court.
- Knowledge of the rules of Decedents Estates and Fiduciaries, Orphans’ Court, and Marriage Licenses.
- Familiarity with County policies and procedures.
- Proficiency in operating standard office equipment: Computer/Printer, Telephone, Copier, Fax, and Microfilm Reader/Printer.
Team & Environment
You will supervise a team of office staff and will be responsible for stepping in for the First Deputy and the Register of Wills and Clerk of Orphans’ Court when required.
