Role Overview
This position provides essential administrative and operational support to a Christian outreach program serving students with special needs in the San Jose area. The Area Administrator ensures the smooth functioning of daily operations by managing communication, financial tracking, event logistics, and data systems that sustain ministry efforts.
Key Responsibilities
- Handle incoming correspondence, phone calls, emails, and voicemail with professionalism and promptness
- Produce and distribute newsletters, flyers, postcards, and event materials in coordination with ministry staff
- Maintain and update digital and physical databases for donors, volunteers, parents, and participants
- Manage donor relations, including thank-you letters, personal support mailings, and donation tracking
- Oversee financial processes such as expense reporting, bill payments, budget monitoring, and monthly record updates
- Coordinate ministry events, including staff meetings, leadership gatherings, and annual banquets
- Support camp operations by tracking registrations, payments, health forms, and fundraising progress
- Prepare and distribute camp materials, invitations, and donor communications
- Train team members on administrative systems and processes
- Track staff leave, timesheets, and personnel actions, ensuring compliance with regional requirements
- Manage email distribution lists and digital contact systems for various ministry groups
Qualifications
Applicants must affirm a personal faith in Jesus Christ and align with the organization’s religious statement and practices. A high school diploma or equivalent is required, along with typing proficiency and strong organizational abilities. Candidates should demonstrate accuracy in multitasking, solid written and verbal communication skills, and experience with Microsoft Office applications.
Preferred qualifications include an associate degree, prior administrative experience, and ongoing professional development. Familiarity with financial tracking, database management, and event coordination is highly valued.
Work Environment
This is an on-site role based in San Jose, requiring local availability due to responsibilities involving facility coordination and ministry logistics. The position operates within a faith-centered culture that emphasizes prayer, servant leadership, and spiritual integrity in all aspects of work.
Compensation
